The Role

An opportunity is available for an Executive Assistant, to the Group CEO of Devenish Nutrition. This role in based in the Devenish Global Innovation Offices, County Meath.

The role of the Executive Assistant will be to provide high level and dedicated support to the Group CEO. In this role discretion, confidentiality and reliability are a must.

Responsibilities include:
  • Be aware of the importance of key business issues and be able to identify what items are critical and need to be prioritised.
  • Liaise effectively and professionally with both internal and external contacts including colleagues and senior management from other parts of the organisation on behalf of the Group CEO.
  • Capture and collect with the Group CEO key actions points and coordinate and report on the progress on action points arising
  • Preparing and reviewing documentation you will prepare weekly and monthly reports, documents, presentations and spreadsheets and ensure accuracy of data as well as the relevance.
  • Carrying out background research and present findings to better inform project progression
  • Producing documents, briefing papers, reports and presentations as required
  • Participating in, coordinating and reporting progress on projects as required
  • In relation to meetings: you will be responsible for ensuring that the CEO is aware of the purpose of meetings scheduled and has any relevant documentation prior to the meeting occurring. You will ensure that appropriate agendas and supporting documentation are sent to attendees in a timely manner.
  • You will organise conferences, functions and social events as required by the CEO.
  • Arrange travel, including flights, hotels, conference registration, etc
  • As required assist with diary management: you will effectively manage diaries and organising meetings for the CEO and may be required to organise travel such as flights, itineraries, currency, and accommodation.
  • Other administrative tasks include filing, reviewing and distributing mail, processing invoices and purchase orders, expense claims and ad-hoc duties as they arise.

Note - it is expected that the nature of the job will change over time as the needs of the business change. The Executive Assistant will be required to contribute to the development of the role to reflect the changing needs of the organisation.

  • Exceptional organisational skills with ability to work under pressure and meet tight deadlines
  • Strong IT skills and highly competent in the use of all Microsoft Office applications, with a particular emphasis on Word, PowerPoint and Excel
  • Operate with a high degree of accuracy and attention to detail
  • Excellent verbal and written communication skills
  • Strong interpersonal skills and ability to work with people at all levels
  • Ability to engage with stakeholders in an effective professional manner
  • Willingness to be flexible and adaptable in order to meet the needs of the role including support out-of-hours activities as required
  • Highly motivated with strong ability to use own initiative and work unsupervised
  • Flexibility and Adaptability in terms of work location and hours will be required
